Ceremonial Requests

The City of Denison welcomes the opportunity to recognize residents, special events and programs, businesses, corporate partners, and employees on those exceptional occasions which make Denison a community we are all proud to call home.

GUIDELINES

  1. All ceremonial requests are subject to final approval by the Mayor and/or City Council. The City of Denison reserves the right to:
    1. edit all ceremonial requests to reflect the City’s vision, mission, and goals; and
    2. decline any ceremonial request without further details.
  1. All ceremonial requests should have a specific local connection with the City of Denison unless the request involves a special significance to the City, region, or state, as determined by the Mayor.
  1. All requests should be made through the City Clerk’s Office (cityclerk@cityofdenison.com or (903) 465-2720, Ext. 2437). Please be prepared to provide complete and detailed information to fulfill the request along with information on a contact person for the request.
  1. In order to accommodate preparation and scheduling, all requests should be made as far in advance as possible, with a minimum of 14 days prior to the occasion.  Any exceptions must have prior approval from the Mayor and/or City Council.
  1. A staff member will contact you once your request is approved and ready. Submitted requests should not be assumed automatically approved.

TYPES OF CEREMONIAL REQUESTS

  • Proclamations – A proclamation is a formal declaration by the Mayor in honor of a special event. Proclamations will not be issued for business groundbreaking, ribbon-cutting, or grand opening events. One formal presentation copy will be provided at no charge. Additional presentation copies will be made available for a fee of $5.00 each. When notified they are ready, proclamations should be picked up at City Hall unless other arrangements have been made. On occasion, proclamations may be presented by the Mayor or a Councilperson at a Council meeting or an event. If you would like the proclamation presented, please indicate this with your request. Presentations will only be scheduled according to the Mayor’s availability, Council schedules, and coordination of Council meetings.
     
  • Declaration of Respect may be issued if a Proclamation is not appropriate (i.e., death of a citizen).
     
  • Certificates – A certificate is a formal document that extends special recognition. A certificate may be issued for a person or organization for an accomplishment or contribution to show appreciation. Certificates may also be issued for a request when a proclamation or other recognition is not appropriate for the occasion. One formal copy will be issued for each individual or organization to be recognized per request. On occasion, certificates may be presented by the Mayor or a Councilperson at a Council meeting or an event. If you would like the certificate to be personally presented, please indicate this with your request. Presentations will only be scheduled according to the Mayor’s availability, Council schedules, and coordination of Council meetings.
     
  • Letters – A letter of commendation, welcome, greeting, or congratulations will be issued for programs, conferences, conventions, seminars, or other significant events when a proclamation is not appropriate. One formal copy will be issued per request. Letters are not eligible for formal personal presentations.
     
  • Appearances/Addresses – Appearances and/or addresses (greetings/welcomes) by the Mayor or Council should be scheduled in advance by contacting the City Clerk’s office.
